Ascend IP 200705142300 Update Information - View All Updates

Known Problems and Solutions:
CSR # 951   After Update, Clinical Review list of users is missing some names.  This is due to the user not having Active status in the Utilities / Security screen.  The Status is blank, and will need to be changed to Active.

You may change the status by going to Utilities / Security.  Select each user to make sure their status is not Blank, and change to either Active or Inactive.

Note:  A user cannot change their own status.  If you need to change your own status, either login as a different user who has Administration rights, or call your Hann's On Software Customer Service Representative.

1060 Access DB only:  Try running Reports for the first time of the day, Run Time Error 3065.  Syntax Error, if Utilities / Options / Order Entry tab, Stop Date Grace Period (days) is set to anything but Soft Stop.  This error causes the program NOT to automatically DC orders past their stop date.  The only work around is to set the option to Soft Stop.

Charges : ER/Outpatient/Misc Charge and Enter Floor Stock Charges, if the Date is changed and a new patient needs to be admitted, the date is now moved to the Admit Patient screen.

  

 

For ER/Outpatient/Misc Charge, an option setting in Utilities / Options / Facility needs to be set:  While charging include discharged for [  ] days.  This allows the DC'd patient to appear in the select list of this screen.

91 Outpatient Orders : New option to prompt for labels (or not).  In Utilities / Options / Order Types/History tab, look at the Order Types until you find "Outpatient".  Click on the checkbox for Label Prompt to prompt for labels.  Uncheck the box to not be prompted for labels.

99 Formulary Reports can now exclude user defined-fields.  If you have a user-defined field such as Non-formulary, you can now exclude them from the report.

100 Reports : Dose Statistics : When the Filtering for Patients in Beds Only, the report header now prints the room range:

103 When a patient is transferred from a room to a new room, the next step is to Rewrite all active orders.  The Rewrite Active Orders process will now check orders for Floor Stock dispensing and adjust the Order Type if needed.

In Ascend IP, a Room is linked to a Floor Stock area.  A patient in a room can get their medication from the Floor Stock area or dispensed from pharmacy.  If a patient transfers to a new room, it is possible that the new room is linked to a different Floor Stock area, or no floor stock area at all.   

After transferring a patient and running the Rewrite Active Orders command, the software will automatically change the order type from Unit Dose to Floor Stock Unit Dose and vice versa.  More Info  

104 Charge/Credit from Fill list now sorts by order number, keeping multiple ingredient order ingredients together.
112 Security ; limit type of order a user can input.  Can specify full, view or no access to each of Inpatient, Outpatient and Common orders.  In Utilities / Security, set the appropriate option:

113 Reports: Continuum of Care : Added an option for a page break between inpatient and pre-admission orders.  More Info.
115 Reports: Continuum of Care Discharge Report: If the Option for Include Start Date is checked (Utilities / Options / Continuum of Care tab), the report will now print the heading for Start Date on the report.
116 Pre-admission and Inpatient Order Entry - duplication, copy and paste.  Copy and Paste to Pre-Admission only takes the first Ingredient in a multi-ingredient order.  Select an Inpatient order from the profile.  From the Order Functions menu, choose Copy.  From the Order Functions menu, choose Paste to Pre-Admission.

136 New pop-up for Clinical Reviews.  Can now show all incomplete clinical reviews when opening a patient profile.   A window appears with a list of all incomplete clinical reviews.  Go to Utilities / Options / Clinical Reviews and click the checkbox to enable:

139 Report: Charges Transmitted Detail Report : Label the statistical numbers shown at the bottom of the report in the same manner they are labeled on the Charges Transmitted Report

140 Security; would like additional login security: Lock out after 3 password failures.  Security audit to see logins, password failures and password changes.  Utilities / Security click on View Logging button.

MAR Reports

1. Footer on 14 and 31 day MAR only, information now prints Height, Weight, and Notes.

2. New Checkbox Option (Utilities / Options / MAR tab) for 14 and 31 day MAR only: "Include Diet".  If checked, the Diet information entered on Patient's Profile will print in the section next to Height and Weight instead of Notes.

3. 14 Day MAR only:  The word STOP will print on the appropriate day if the order stop date is within the MAR period.

266 Order Entry:  Choosing a new first ingredient will refresh all defaults brought from Formulary, such as Order Type, Comments, Label, Route, etc.
391 Report : Patient Profile - Now prints the COMPLETE list of order ingredients.  In the past, it was printing only the first 4 ingredients.
419 Patient Education Monograph: Now includes dosage in search by drug description.
421 Inventory Control - Expiration date is now formatted automatically.
432 Inventory Control - Can search for formulary record by Charge Code and NDC as well as description.  When the Inventory Control screen first appears, the default is Search by description.  Click on the words "Search by description" to change the criteria to "Search by charge code".  Click on the words again to change criteria to "Search by NDC".  More Info
467 Remove Retired Options from Formulary.  You will no longer see the Default dosing times for each day.  Instead, use the notation "give at" in the sig.  For example:  BID give at 08:00, 20:00

These Default dosing times have been retired from the formulary.

478 Add Total Volume to IV Labels.  New option under Utilities / Options / Labels/IV's - Print total volume on IV labels.  Checking this option will display "Total Volume = nnnn ML" on all IV labels, where 'nnnn' is the sum of the Per field values for all ingredients.

663 Reports:  MAR - New Formulary Option to add user defined text to appear under the Scheduled Dose time on the MAR.  An example would be to monitor heart rate by printing the text "Heart Rate ________".

NOTE: If you have a Custom MAR Report, this new option will not work unless your custom report is updated.  Please contact your Hann's On Software Customer Service Representative for assistance.

In the formulary, select the drug and go to the Defaults tab.  Locate the option "MAR Dose Text".  Fill in the text to display:

To have the MAR Dose Text print for a PRN order on MAR PRN Section(s), you will have to check the option to "Print Times".

To have the MAR Dose Text print for a PRN order on the Pain Effectiveness MAR, PRN Section(s), you need to check the Formulary Drug option "MAR Pain Effectiveness".

 

698 Report:  MAR Reports:  Can now print all sections, one section, or multiple sections.  

The MAR can have multiple sections such as Scheduled Orders PO, Scheduled Orders IV, PRN, Inhalation Therapy.   The sections normally print for each patient on separate pages.

It is now possible to select one or more sections to print, instead of printing all sections together.  An example for use could be to print only Inhalation Therapy sections separately to give to that group.

In this example, the following sections are defined in Utilities / Options / MAR:

In Reports / Reports / MAR, the Report window looks like this:

By default, the report will print All Sections, even if nothing is selected.

To print only one section, select it.  The highlighted section will print.  Use the scrollbars to see additional sections in the list.  

For more than one section, keep selecting all the sections required.  The highlighted sections will print.

To unselect a section, click it again.

79 Inventory Areas:  Was not displaying an item in an Inventory Area if the item was added to Formulary by the Interface
83 Security:  New Security enhancements were failing to restrict access to reports/labels.  This has been fixed.
90 Report: Continuum of Care Discharge: Pre-Admission orders were printing the mnemonic instead of the Drug Description if Order Entry Option set to display Drug Description2 and the item was selected by mnemonic.  This has been fixed.   In addition, the patient profile was displaying the Pre-Admission order with the mnemonic instead of the Drug Description, this has been fixed.
96 Order Entry:  Entering a new order from the Enter ER/Outpatient/Misc. Charge screen, the Order Date/Time was reporting Start time instead of Entry time.  It now shows the Entry time.

1) Doctor filter now works for individual MD selection

119 Order Entry:  One time orders ("now", "stat") were not translating non-scheduling codes in the sig, has been fixed.
120 Order Entry:  Scheduling Problems affecting Order Stop Date have been fixed.  A number of actions can affect the order stop date.  In this version of Ascend IP, the following scenarios have been fixed to provide the expected stop date.

1.  Adjustment of Order Start Time was incorrectly adjusting Order Stop Time backwards causing one less dose to be scheduled.  This occurred on scheduled interval orders only (ex: Q12H, Q8H).  This has been fixed.

2.  Unable to adjust Stop Time for PRN orders with a stop qty (ex. PRN x 3 doses).  This has been fixed.

3.  Added a time-to-live parameter to ALL scheduled orders, not just one-time orders.  New Option: Utilities / Options / Order Entry: Set the Stop Time for all scheduled orders.  In prior versions, it was set to 1 min. after the last scheduled dose.  This option sets it to 1 or more hours after the last scheduled dose, allowing time to retrieve item from automated dosing machines.

For instance, an order scheduled BID X 3 Days may have:

It's last scheduled dose to be given on  10/14/2006 @ 20:00
Previous versions (or new option = 0) order stop date/time is  10/14/2006 @ 20:01
With the new setting = 1 hour,  the order stop date/time is  10/14/2006 @ 21:00

4.  "XL" in Sig was overriding the formulary default Auto Stop Days and manual edit of order Stop Date with the Order Entry default.

This has been fixed.  No matter what is in the SIG, the Stop Date/Time does not revert to the  Order Entry default.

History: If your sig included the text "XL", the Order Stop Date was set to the system default number of days, not the formulary default.  Even if you manually changed it, it was still set to the system default.  This has been fixed.

Example:  New order for PROCARDIA XL 30 MG, order is entered with SIG: PROCARDIA XL 30 MG BID.  In prior versions, the Stop Date/Time was set to the Order Entry Default, NOT the Formulary Drug Default.  If no "XL" in the sig, it worked fine.

132 Order Entry:  Duplicate and Paste would send cancelled orders to interfaces.  This has been fixed.
133 Inventory Control:  Total Price was miscalculated in Inventory Control, is now fixed
138 Outpatient Order Entry Form does not find and save the Manufacturer, only the Lot Number and Expiration.   This has been fixed.
155 Update:  Fixed issue with updating license for clients who have exactly 6 licenses
213 Order Entry screen: Error: 2110 Address: cmdAdd_Click while adding new ingredient when in View Selection: Formulary.  The Add and Delete Ingredient buttons have been grayed out while in View Selection: Formulary or View Selection: Lot numbers.  The buttons are enabled when in View Selection: Standard and Full.

261 Update:  Update from 20060405 or previous versions to 200610060800 failed for some clients.  On an Access database, first repair and compact the First Databank database, then run the update.
280 Security : Change Password:  Correct user identified when creating/updating password for another user.
344 Starter Doses: Entering Miscellaneous Charge/Credit for Starter Doses would always use the current date/time instead of the date/time entered.  This has been corrected.

351 Patient Select - Sort by Room.   Customer noticed that in the Patient Select form, when clicking on the Room column header that the sort was not the same as in other areas of the program. (Room List Sort Order number).   

Clicking on the Room column header will now sort by the Room List Sort Order.

363 Reports: Missing Patient Information, did not recognize alpha characters in Medical Record Number (MRN).  It would list these MRNs in the report, when they really were not missing.  The report has been fixed. 
391 Reports:  Patient Profile and Patient Profile Summary will now print COMPLETE list of order ingredients.  Was printing only up to 4 orders in previous versions.
407 Clinical : AHFS Therapeutic Class : Error 3265 when searching FirstDatabank, has been fixed.
410 Utilities / Options / Facility, entering a value of days greater than 255, the user received a Run-time Error 6 Overflow. This was followed by Run-time Error 91.  This has been fixed.  A message pops up that the value must be between 0 and 255.

411 Inventory Control:  Run-time Error 3075  when there was an apostrophe in Manufacture field (ex: ACME'S ) has been fixed
439 Outpatient Order - does not populate "Cost" when clicking on button.  This has been fixed.
475 Modification to the server update program, Supdate.mdb
484 Fatal Error when adding HCPC code has been fixed.
501 Error associated with CSR 501 (see enhancement section for CSR description) has been fixed.
547 Clinical Review Form, Reviewed By list now excludes Archived/Inactive Users

677 Order Dose/Per Calculation issue has been fixed.

This problem had been observed when creating orders with any Drug record that has a Dose or Per value of 100.

When an order for 10 units was created by changing the Dose from 100 to 10, then the Qty/Dose appeared to be adjusted to 0.1. However, when the order label was printed or the MAR was printed, the dose calculation appeared as 0.09999999. This lead to the calculation "9.999999E-02 X 1ML = 9.99999E-02 ML Dose" appearing on the MAR. This display was confusing and disconcerting for the nurses using the MAR.

692 Automatic Rewrite - Edit First Ingredient,  new order wrong Date/Time, has been fixed.

Background:
Customer has Order Option set to automatically rewrite an Active order when they edit the order's Ingredients. The program prompts them to DC the original order, then creates a duplicate that includes the edit or change. In prior versions, the new order had a Order Enter and Start Date/Time = NOW.

Problem:
Previous Beta version when rewriting the order, uses the original order Entered/Start Date/Time even though it is three days later.

Example:
1) Original order was entered on 3/28/07 07:03. This is the Entered and Start Date/Time.

2) Three days later the pharmacist changes the order Ingredient or 1st drug. Program prompts them to DC the order with default date/time of 3/31/07 10:41 or Now. The new order's Entered and Start Date/Time is 3/28/07 07:03, should also be Now.

The rewritten order was entered after the Fill List report was printed, the pharmacist expects the new order to print on the Fill List Catch-up.  It doesn't because the date is incorrect.

718 Order Entry Option -- Was not able to edit the option for Set the DC Time for one-time orders (or Set the Stop Time for one-time orders), has been fixed.

If the Order Entry option was set to automatically DC one-time orders, could not change the "Set the DC time for one-time orders to equal ___ hours after the start date/time option.

Error Message: "You must enter a number between 0 and 500". 

I can't change the value for this option...unless I enter 2 as "002".

Similarly, if the Order Entry option is not set to automatically DC one-time orders, the same option will say "Set the Stop Time for one time-orders to equal ___ hours after the start date/time"

746 Admit New Patient - Clinical Checking with Medical Profile of Prior Patient has been fixed
750 New Clinical Pop-up Option added for CSR 136 was missing in version 200704101300, it has been restored.
871 Order Entry: Automatic Rewrite required after edit of 1st ingredient by technician (whose orders need to be verified by a pharmacist) D/C's the original order and creates a new order. This new order should be Inactive, but remained Active.  This has been fixed.

IV Order without a value in the "Volume" field, does not print order item

These issues have been fixed:

1) an IV Order Label prints "#Error" instead of Item/Drug.
2) creation of a new order with Null value in Order Volume field, AIP and reports frequently errors when a field is Null.

876 Error 94, invalid use of Null - Trying to delete a blank Allergy or Diagnosis entry in a Patient record, has been fixed.
891 Report: MAR: Error 5, OrderItems when order description was greater than 33 characters and AHFS record was being printed, has been fixed.
